Write pass or fail before testing
For each journey, identify the user, preconditions, actions, and expected outcome. 'The application works' cannot be checked reliably. 'A returning customer can change a delivery address, see the new total, and receive confirmation' can. Include the less comfortable paths: invalid data, unavailable inventory, canceled actions, and a return after session expiry.
Choose reviewers who understand the business process and provide safe test data. Tell them which build to use, where to find the task list, and who can answer questions. A guest feedback link does not bypass the website's own authentication, so establish access to a protected staging site before the UAT session begins.
Separate findings from the release decision
A tester should report the failed criterion in plain language and describe what prevented completion. The project owner then decides whether it is a defect, an unclear requirement, or a new request. Give blockers an owner and a retest; document accepted exceptions rather than resolving a thread merely to empty the inbox.
Business acceptance belongs to the person authorized to approve the release. Summarize passed journeys, failed journeys, known exceptions, and remaining risk in the approval record. Annot8 feedback can supply supporting evidence, but it does not replace a regulated validation record, an electronic signature process, or your organization's formal acceptance procedure.
The review workflow
Prepare realistic scenarios
Write the critical business journeys and outcome-based criteria. Confirm reviewers, test accounts, safe data, and access to the intended staging environment before collecting feedback.
Report failed criteria
Ask the reviewer to identify the affected step, expected outcome, and actual behavior. Pin feedback to the relevant control and keep one failure or clarification in each thread.
Retest and approve
Repeat failed scenarios after the fix. Bring unresolved exceptions to the decision maker, and record the release approval separately from the feedback thread status.
DEFINE DONE
Acceptance checklist
- Business-critical scenarios have explicit outcomes and a completed result.
- Every failed criterion is fixed and retested or accepted as a named exception.
- Reviewers can complete tasks using their intended access level.
- The authorized business owner records the final release decision.
ILLUSTRATIVE EXAMPLE
A booking change that loses information
Fictional example: a training provider asks office staff to review its booking site. A reviewer moves a booking to another date and discovers that the attendee count resets.
THE FEEDBACK
Change a three-person booking to the next available session. Expected: the date changes and all three places remain reserved. Actual: the booking returns to one attendee without warning.
The team treats the lost booking quantity as a blocker, checks the saved record after the fix, and asks the business reviewer to repeat the scenario before approval.
Fit and plan limits
Free guest review is limited to three distinct guest reviewers and 50 feedback threads per month; paid plans allow unlimited guest reviewers and threads. Team members managing the review use workspace seats, including pending invitations.
Screen recordings and integrations are paid features. Annot8 does not create a complete UAT test-management system or guarantee business acceptance. Choose a retention plan that matches how long your team needs the evidence; Free dashboard retention is 14 days.
Common questions
How is UAT different from website QA?
QA investigates defects and technical behavior across the agreed coverage. UAT asks business reviewers whether real tasks meet their acceptance criteria. Both can create feedback, but they answer different release questions.
Does resolving all feedback mean the release is approved?
No. The authorized business owner should review the scenario results and known exceptions, then record the approval through your organization's normal process.
